Job Description:

Our client, a downtown financial services company requires a Senior Administrative Assistant to join their administrative group. The Administrative Assistant will be responsible for supporting  a Senior Partner requiring this individual to have a high level of discretion and confidentiality while acting as a business partner and managing travel, schedules and correspondence.

Responsibilities:

  • Provide a high level of executive/administrative support
  • Preparing specialized and often complex recurring, as well as exceptional reports and presentations, while maintaining confidentiality.
  • Drafting general correspondence, memoranda, charts, tables, and graphs, often from rough drafts, editing grammar, punctuation, or spelling as needed.
  • Composing responses to routine inquiries, ensuring accurate spelling, grammar, and layout of correspondence and reports and making appropriate edits when required.
  • Coordinating and preparing briefing materials and presentations.
  • Coordinating, scheduling and arranging meetings.
  • Compiling and processing accurate expense accounts.
  • Travel and related arrangements and bookings.
  • Reviewing incoming correspondence and documents and, when appropriate, requesting further analysis and/or clarification.
  • Flagging urgent issues requiring immediate attention.
  • Administrative support on special projects, as assigned.
  • Screening visitors and telephone calls, redirecting as required.
  • Generally assisting and providing information on company policies, practices, and operations to key internal and external sources, including board members.
  • Occasional reception support.
  • Occasional catering coordination/meeting room set-up and clean-up.

Qualifications:

  • Post-secondary education OR an equivalent combination of education and experience
  • 5 years or more experience in administrative support at the executive level preferably within finance or professional services
  • Advanced software skills – Microsoft Office suite

In addition you will have:

  • Organizational skills and the ability to multi-task, prioritize and meet deadlines;
  • Excellent listening, interpersonal, written, and oral communication skills;
  • The ability to effectively problem solve;
  • Attention to detail
