Job Description:

A small and growing boutique Investment Management firm is seeking a Portfolio Administrator to join their team. Reporting to the Operations Controller, the successful candidate is to provide a high level of service and support, working closely with other team members to support our internal partners enabling the firm to provide exceptional service to end-clients. Responsible for supporting the maintenance of well-organized client “KYC” records, preparing client reports and processing client driven transactions. This individual will work within the Operations team supporting relationship managers and clients.  In addition, this individual will assist with building trade allocations under the direction of one of two Portfolio Managers.


  • Track and provide information on client RRSP contributions & TFSA room, deposits and withdrawals
  • Prepare, create and customize client reports and tax documents
  • Process and manage recurring and one-time client transactions
  • Prepare new client custody account opening documentation
  • Prepare information for client meetings such as agendas, presentations, forms and documents
  • Manage and track status of client related tasks and activities
  • Maintain/manage and archive client books and records
  • Prepare reports and information in response to client requests or questions presented by Client Relationship Managers
  • Assist with preparation of quarterly reports and mailings
  • Calculate trade allocations to client’s based on criteria/model provided by Portfolio Manager and Trader
  • Process trades and facilitate corresponding entries within portfolio management system
  • Coordinate work with Portfolio Managers, Operations and Relationship Manager, provide support and backup as required


  • Excellent command of MS Office products: Outlook, Word, Excel, and PowerPoint
  • Experience in the investment industry and an understanding of the regulatory framework relating to dealing with clients (suitability, know-your-client “KYC”)
  • Understanding of investing and related concepts including tax consequences
  • Self-motivated with initiative to meet deadlines and tight schedules
  • Positive attitude and professional demeanor
  • High attention to detail and accuracy
  • High level of discretion and commitment to confidentiality
  • Excellent organization skills with a strong ability to prioritize and multi-task
  • Excellent interpersonal, oral and written communication skills
