Job Description:

Our client, a rapidly growing real estate and development company located in midtown Toronto with convenient access to the subway line. They are looking for an Executive Assistant and Office Manager to join their team.


  • Provide administrative support including calendar management, scheduling meetings, arranging conference calls, and travel arrangements and itinerary for the President
  • Monitor President’s email, may include responding to general emails, setting up requested meetings, printing attachments within emails
  • Coordinating meetings and receiving relevant information from multiple parties, preparation of documents, reports, etc.
  • Prepare, edit and format correspondence, presentations and other documents
  • Prepare expense claims and reconciliation
  • Answer and screen calls, relay messages in order of importance, prioritize emails and messages for President
  • Regularly handle confidential material and uses discretion
  • Develop and maintain necessary records and files
  • Draft memos and letters as necessary
  • Coordination of office functions and administration and assist with general office support; this includes: landlord relations (parking, heat/AC, etc.)
  • Coordinate with Insurance provider
  • Ordering office and kitchen supplies, organizing holiday gifts for vendors
  • Organizing catering for lunch meetings when necessary
  • This person will sit in the middle of the office, not at front reception
  • Personal assisting is required such as dinner reservations, scheduling of car maintenance
  • Standard office hours are 9:00am to 6:00pm, Monday to Friday


  • 10 years of senior executive assisting support
  • Excellent customer service
  • Exceptional organization skills, attention to detail and ability to multi-task
  • Excellent MS Office Suite skills
  • High level of discretion and confidentiality
  • Active listening skills and problem-solving skills
  • Adaptable to various communication styles
  • Strong written and verbal communication skills
  • Patience
