Job Description:

Our client, a boutique media agency downtown requires an Office Admin and Finance Assistant to join their team.


  • Print invoices and distribute mail amongst office staff
  • Assist/Coordinate meetings – ensure boardrooms/meeting rooms are set-up prior to visits, organize refreshments, provide assistance with office technology
  • Monitor and maintain general condition of premises
  • Monitor and order kitchen and office supplies and ensure that kitchen / storage room is kept in organized
  • Manage service providers such as caterers, cleaners, couriers, Xerox, security system, etc.
  • Provide high-level technical support with employee cell phones, laptops, etc.
  • Organize and manage company events
  • Exercise strong attention to detail with organizing company filing
  • Assist in populating data in Mediaocean software including receiving and inputting invoices
  • Assist with other financial matters including bank deposits, filing, OOO tracking, staff contact updates


  • Post-secondary education
  • Accuracy and attention to detail
  • Excellent organizational and time management skills
  • Proficient in Microsoft Office programs
  • Ability to take initiative and work independently as well as part of a team
  • Wiliness to learn new skills take on additional responsibilities
  • Excellent written and verbal communications skills
  • Exercise confidentiality when dealing with business information
  • Experience with job duties or related experience preferred
