Job Description:

Our client, a property development and asset management company specializing in shopping centres requires a Leasing Assistant to join their team. Reporting to the Director, Leasing Administration, and the Senior Manager, Leasing Administration the successful candidate will fill the Leasing Assistant, Leasing Administration role at their Markham head office. The primary responsibility of this role is to provide administrative support to these senior members of the leasing administration team.

Responsibilities:

  • Providing full administrative support, including, but not limited to preparing various correspondence, formatting legal documents, opening files, comparing execution copies, printing, filing, and photocopying.
  • Drafting Letters of Intent, Leases, Renewal Agreements and various other ancillary legal documents (including rent deferrals, short term agreements, relocation agreements, expansion/downsizing agreements, etc.) in addition to all internal lease summaries in an accurate and timely manner
  • Assisting with various daily tasks such as scheduling meetings, tracking of deadlines and maintaining and updating property reference summaries
  • Tracking construction timelines, critical dates and conditional dates
  • Filing of electronic and hard files
  • Document tracking of administrative files to ensure that time schedules or deadline requests are respected and update property list
  • Communicating with various internal departments (including property management, accounting, construction, and finance departments) in order to resolve outstanding issues and assist with completion of deals
