Job Description:

Our client, a downtown media and advertising agency requires a Jr. Media Project Coordinator to join their team. The project coordinator role is extremely important in terms of ensuring that the day to day administrative efforts that support the Client Team by delivering accurate and timely support while maintaining the confidentiality of client information.


  • Media purchase authorization tracking and maintenance
  • Monthly vendor spends report and visualization
  • Aged invoice report management
  • Assist in maintenance pf billings tracking
  • Develop, extract and maintain monthly hours reports
  • Assist (as necessary) with team time sheet tracking
  • Develop and maintain various dashboards, as necessary
  • Develop and maintain regional activity report, as necessary
  • Develop, maintain and issue (with guidance from business leaf) global reporting, as necessary
  • Vendor commitment tracking
  • Campaign overlap management
  • Managing status reports
  • Scheduling vendor meeting
  • Assist in the development of monthly Budget Control Reports that accurately reflect client approved activity and coordinating the invoicing
  • Assist in ensuring billing process is completed on time and is accurate and within approved budget.
  • Act as a liaison between the Client Services team and the Finance Department
  • Assist in the development of reports to support all CS Team members
  • Provide additional support to Client Services Team as need on Ad Hoc projects
  • Data collection and dissemination
  • Assist in the preparation of pre and post reports. This will include analysis and preparation of the appropriate document as directed by Supervisor.
  • Participate in meetings as required


  • College/University Degree an asset
  • 1 – 2 years of experience working in an administrative and/or project coordinator role
  • Experience working in a Communications and/or Marketing Advertising environment an asset
  • Excellent time management skills including planning, organizational and priority setting skills with the ability to work under pressure
  • Detail oriented with demonstrated problem solving ability
  • Ability to manage conflicting priorities in a fast paced, deadline driven environment
  • Ability to work well as a team
  • Strong attention to details
  • Superior communication skills (written and oral) and customer service orientation
  • Superior PC skills required (Excel, Word, PowerPoint)
  • Industry tool knowledge an asset including Numerator, Pathmatics, DDS/Media Ocean, Media Tools/Plan It, Vividata
