Job Description:

Our client, a boutique midtown financial services company requires a Fund Administrator to join their team. In this newly created role, the Fund Administrator will be involved in the inception of the new mortgage fund and the setup of servicing processes including implementation of the fund servicing software. Following the initial setup the Fund Administrator will be responsible for performing all aspects of fund administration and servicing during the life cycle of the fund. You will work closely with the investor relations department to process new trades and related activity, ensuring compliance with all required legal and regulatory policies. You will create and maintain an accurate unitholder register in the fund servicing system. You will be responsible for the day to day administrative activities involved in processing distributions and DRIP payments, processing asset purchases and redemptions and handling of fund reserves. The risk associated with the size and complex nature of the mortgage portfolio demands a high degree of precision and efficiency on the servicing functions of this role.

Responsibilities:

  • Actively participate in the implementation of a fund servicing system, including troubleshooting errors and coordinate with the developers to achieve proper functioning
  • Input and verify new unit purchases in the fund servicing system based on the Subscription Agreement, input unit classes, DRIP settings and banking information
  • Provide trade confirmations to investors
  • Process redemptions and transfers for unitholders
  • Calculate and process monthly distributions including DRIP
  • File Report of Exempt Distribution with OSC
  • Prepare investor statements and investment management reports
  • Setup management fees and trustee disbursements, provide Treasury with a report for verification
  • Assist with cash management (bank reconciliations, wire transfers, cash balances, etc.) and liaise with Treasury to ensure general ledger transactions are accurate for all serviced loans
  • Assist in administration and auditing of the fund compliance program
  • Assist with aspects of the financial reporting process
  • Prepare various materials for the unitholder annual board meeting
  • Monitor compliance exception reports and maintain support documentation of resolution
  • Develop and maintain controls to ensure the integrity of the fund servicing system and the accuracy of information
  • Make recommendations to eliminate and automate tasks for improvement to procedures and processes
  • Participate in skills development, and mandatory assigned learning

Qualifications:

  • You bring a minimum of 3-5 years of experience in fund administration preferably in a non-institutional setting and you have a positive attitude and desire to learn about the mortgage industry.
  • Strong interpersonal, organizational, and time management skills.
  • Proficient and solutions-oriented.
  • Demonstrates a high degree of accountability. The successful candidate will demonstrate sound decision-making skills and handle multiple tasks in an efficient and accurate manner and be comfortable working independently.
  • You bring a minimum of 3-5 years of experience in fund administration preferably in a non-institutional setting and you have a positive attitude and desire to learn about the mortgage industry.
  • Strong interpersonal, organizational, and time management skills.
  • Proficient and solutions-oriented.
  • Demonstrates a high degree of accountability.
  • High degree of proficiency in Office 365, Adobe DC, QuickBooks.
  • Advanced MS Excel skills and application to investment accounting.
  • Experience in the private equity industry.
  • Knowledge of mortgage-backed securities would be an asset.
  • Knowledge of Mortgage Automator software is an asset.
