Job Description:

Our client, a growing augmented reality company, requires an Executive Assistant to join their team. This role will work collaboratively within the team supporting the CEO, company operations and employee functions.

Responsibilities:

  • Assist the CEO in managing every detail necessary for a smooth, efficient, and successful daily operation of the company, including prioritizing and delegating tasks in the CEO’s calendar and inbox, as well as drafting written communication on their behalf.
  • Act as the first point of contact, ensuring that all inquiries and correspondence predominantly from investors, customers, and vendors are responded to in a timely manner.
  • Track and manage all documents and tasks, including proposals, financial records, billing, insurance policies, contracts, legal and HR agreements, and company records; reviewing and summarizing content to effectively indicate the level of urgency or amount of effort required.
  • Manage outsourced services (e.g., accounting, I.T., legal, etc.) and work with bookkeeper and accountants to ensure accuracy of financial records.
  • Help with managing company on-site infrastructure:
  • Office space needs and layout, I.T. and connectivity, utilities, etc., acting as the single point of contact for issues, renewals, billing, supplies, and access.
  • Manage and track supplies and equipment, including purchasing of all office supplies such as computers, furniture, R&D equipment, as well as food and kitchen supplies.
  • Plan and coordinate travel plans, team meetings, internal/external events, interview schedules, office moves, birthdays, etc.
  • Provide general people operations support such as facilitating virtual welcome and onboarding of new hires; and managing benefit plans, vacation schedules, employment letters, HR policies, and payroll entry.
  • Play a role fostering our amazing team culture, including coordinating online/virtual events every month.

Qualifications:

  • The knowledge and experience. You may have 10+ years of experience as an assistant to a CEO or member of the executive team. You understand the level of detail, responsiveness, and ownership needed to thrive in a startup or tech product environment. You have exemplary attention to detail and organizational skills, including inbox, calendar, and document management, and process development.
  • The technical skills. You are highly proficient with MS Office and Google Suite and can quickly learn new administrative management tools.
  • The trust, dependability, and attention to detail. You are passionate about operational excellence, committed to supporting your executive and their team, have excellent communication skills, and the ability to think creatively to solve problems. You know how to apply the criticisms given to you. You have an appreciation for diverse approaches, and you value the experience and the voices of your colleagues.
