Job Description:

Our client, a downtown real estate asset management firm requires an Executive Assistant to join their team. This role will support the CIO and provide back up support to the EA of the CEO and head of sales and marketing as required.


  • Act as the internal and external point of contact for the CIO
  • Handle business and personal requests to allow the CIO to focus on her responsibilities
  • Manage a very busy schedule, including responding to calendar requests and booking travel
  • Stay on top of documents, resolutions, and cheques to make sure everything is handled on time
  • Manage and track invoices and expenses, from initial analysis to following up on any variances
  • Assist in planning a variety of events and researching points of interest as directed
  • Provide administrative support to the Manager, Executive Coordination while acting as back up EA to the CEO and Head of Sales and Marketing
  • Greet clients in a professional manner for all in house meetings • Lead by example to work effectively and collaboratively with other executive support staff in the organization


  • You have at least 5 years of experience providing support to senior executives
  • Experience booking travel and coordinating and managing a busy schedule
  • Sound judgment, sound common sense and combine high energy with emotional maturity, tact, diplomacy, and the utmost discretion
  • Ability to work overtime hours and being on call when it’s needed to meet challenging and changing deadlines
  • Excellent MS Office skills with Word, Excel, PowerPoint, Outlook, and Adobe
  • Comfortable using smartphones, tablets and other technologies
  • A knack for anticipating needs and adapting to fast-changing circumstances
  • Use of common sense to make things happen and consistently delivering top quality results, even in a fast-paced environment
  • Hardworking with the passion to learn, contribute and have fun
