Job Description:

Our client, a boutique wealth management firm is seeking an EA/Office Coordinator to join their team. The ideal candidate has a professional administrative background and experience supporting the ‘C’ suite.  You are an organized professional able to support the CEO and COO across a variety of functions, including travel, events, scheduling, communications, website and social media, MS Office document and presentation support and other special projects and admin as required.

Additionally, you will help keep the office running flawlessly, enjoy wearing many hats, and be willing to pitch in with a positive, can-do attitude. You must be well-organized, flexible and a professional ambassador to the outside world.


  • Executive assistant to CEO, including EA support to the COO
  • Communications – assisting with polished investor communications and website content
  • Office Administration – general administration and client service including greeting guests & coordinating meetings, deliveries, office supplies & equipment orders, couriers, maintenance etc.
  • Special event coordination
  • Investor database management
  • Capacity to work on special projects and research


You have an eagle-eye for detail and a polished approach to your workload. Your verbal and written communication skills are strong, and you can anticipate needs, take initiative, and work proactively.

Tight deadlines don’t overwhelm you and you work well under pressure. You are skilled at working independently and are good at perfecting your own work. Multi-tasking comes naturally to you and you are able to complete tasks well, or ask the necessary questions to get the job done. You welcome feedback and are able to give it effectively and respectfully. You’re resourceful and you love organization. You know how to prioritize, and you don’t need help finding solutions.
