Job Description:

Our client, a law firm located in Yorkville requires a Receptionist to join their team. The successful candidate will be required to greet visitors to the firm, answer incoming calls, be responsible for various incoming and outgoing correspondence, as well as manage other administrative duties. This role requires someone who can multitask and manage in a dynamic, fast paced environment and who possesses excellent customer service skills.

Responsibilities:

  • Answering calls, directing inquiries to the appropriate contacts and providing information
  • Act as a front line Ambassador for any clients, visitors etc.
  • Prepare reports, memos, and documents
  • Process incoming and outgoing mail, manually or electronically
  • Maintain electronic and back up filing system
  • Handle incoming/outgoing mail
  • Records management and related procedures
  • Prepare meeting agendas and supporting materials for distribution
  • Support with meeting, travel and other arrangements
  • Other duties as required

Qualifications:

  • 3-5 years’ reception/client service experience within a professional services/corporate environment
  • Familiar with using office equipment such as photocopier, scanner, etc.
  • Strong attention to detail
  • Proficiency in the use of computer software for word processing, spreadsheets, email, Internet
  • Familiar with using Microsoft Office – Word, Excel etc.
  • Strong organizational skills, ability to multi-task and ability to exercise independent judgment
  • Must be detail-oriented
  • Excellent communication skills, both in oral and written
