Client Billings Coordinator

Job Description:

Our client, a downtown advertising agency requires a Billing Coordinator to join the finance team. This position is accountable for ensuring all agency billing is managed in a timely, accurate manner. This position must be prepared to accept and assume responsibility, understand and adhere to operational policies and procedures, and work with utmost professionalism. This position must also be prepared to build and maintain positive working relationships. This includes interactions both internally (account service, production) and externally (vendors, clients), as well as across the agency as a whole.


Production Billing

  • Codes and enters production invoices for payment
  • Opens dockets and input estimates
  • Runs & reviews job summaries
  • Prepares draft and final invoices for client billing
  • Coordinates and schedules monthly billing and revenue meetings
  • Ensures timely monitoring and billing of projects
  • Ensures that support documents are copied and maintained in job files
  • Ensures all billing requests are promptly handled
  • Ensures all documentation has proper authorization approval
  • Ensures the accuracy of a job opening
  • Provides status on monthly WIP accounts
  • Assists with month-end reporting including backup revenue documentation
  • Recognizes revenue using percentage of completion analysis
  • Has a solid knowledge of Federal and Provincial Tax regulations

Accounts Payable Production Functions

  • Checks, verifies, and processes production invoices
  • Sorts, codes and enters production accounts payable data
  • Analyzes discrepancies and unpaid invoices
  • Ensures accuracy of invoice entries
  • Matches client payments with vendor invoices for scheduling payments



  • Minimum of one year experience working in an advertising agency or production billing department
  • Solid understanding of the advertising industry across all disciplines
  • Proven ability to problem-solve and escalate issues to senior staff
  • Ability to multitask and meet strict deadlines
  • Ability to work efficiently independently and as a part of a team
