Job Description:

Our client, an education consulting firm requires a Senior Administrative Assistant to join their North York office. This role will support the CEO and manage day to day office coordination. This role requires a minimum of five years administrative experience including strong MS office skills, high attention to detail and experience with board notes.

Responsibilities:

  • Remain aware of Chief Operating Officer’s schedule and schedule meetings and calls as directed.
  • Preparation for meetings.
  • Promptly screen and distribute incoming email, responding where appropriate.
  • Provide accurate word-processing support by composing and/or editing a variety of documents. This includes many highly confidential Board of Directors’ packages, correspondence, memoranda, contracts and proposals.
  • Assist with organizing meetings and/or special events including annual Christmas parties, meetings, etc. Arrange for catering, locations, distribution of materials, gifts.
  • Develop and maintain well organized filing system that permits easy reference and rapid retrieval of information.
  • Special organizational and research projects as directed.
  • Following travel and expense guidelines in force from time to time, arrange travel, hotel, and car reservations and prepare itinerary, both corporate and personal for the Chief Operating Officer, the Director of Business Development and other directors, officers and guests as required.
  • Arrange and take Minutes at staff meetings, and other meetings as required. Prepare/coordinate any materials needed in advance (ex. binders, agendas, reports, etc.).
  • Ensure the office is well equipped with necessary supplies and that kitchen is stocked. Oversee the proper functioning of office equipment, photocopier, fax, phone system and arrange for service calls when necessary.
  • Management of keys and security passes for the office and staff; liaise with building management with respect to maintenance matters when necessary.
  • Coordinate sending and receiving mail with courier companies and Canada Post.
  • Provide administrative support for the Education Coordinator including registration of new students in the database preparation of welcome packages and registration of existing students for new courses.
  • Maintain accurate student records
  • Assist with the coordination of exam writing and exam center logistics: maintain inventory of exam supplies, create exam templates, book exam space, book proctors; create marking templates, prep and delivery of exams in a timely manner to exam centers.
  • Communicate with subject matter experts.
  • Handle confidential and sensitive documents.
  • Proctor local exam sittings as or if needed.
  • Help maintain and develop the electronic learning platform.
  • Assistance in preparing for promotional events for the education streams through participation at tradeshows, local events.
  • Answer student inquiries via email, phone.
  • Collaborate with other departments (marketing, member services) as needed.
  • Participate in education initiatives as they develop.
  • Other duties as required.
