Job Description:

Our client, a boutique advertising agency located in Etobicoke requires an Administrative to join their team. The individual will manage the reception area, perform advanced administrative/clerical duties, including Accounts Payable and Accounts Receivables, and assist the creative director with day-to-day operations. Must have experience using QuickBooks.


  • Act as the first point of contact with the office for clients, vendors and partners
  • Respond to and screen incoming phone calls and directs callers as appropriate
  • Answer the phone, direct calls and provide friendly and courteous client service to patrons
  • Coordinate the Creative Director’s calendar of appointments and keep them updated while out of office
  • Liaise with internal and external contacts in a professional manner
  • Make arrangements for out-of-province meetings, including booking travel, facilities, the safe arrival of any materials being shipped to the location, and special arrangements upon request
  • Maintain confidential documents such as employee records, financial statements, corporate files and client contracts
  • Manage Accounts Payables and Accounts Receivables: reconcile credit card statements, invoice billable expenses, and pay vendors and sub trades
  • Create financial reports using QuickBooks and/or Excel
    Perform job costing by entering employee time into QuickBooks from time sheets
  • Maintain the tidy appearance of the office
  • Order office supplies and equipment
  • Run company errands (as required)
  • Assist departments when additional help is needed
  • Find solutions to problems within the office to improve the flow of business and office culture


  • Minimum three years of experience as a Receptionist and Administrative Assistant
  • Experience working in a small office
  • Experience managing A/P and A/R
  • Experience using QuickBooks (mandatory)
  • Exceptional organizational skills
  • Great time management, organizational, interpersonal and analytical skills
  • Pleasant, professional, and outgoing attitude
