Job Description:

Our client, a financial services company downtown requires a Bilingual Executive Assistant to join their team. Supporting three Executives across Canada, this role requires previous experience within financial services. Must fluently speak/write both English and French.


  • Compose letters and memoranda from dictation, verbal direction or from knowledge of company policy or procedures
  • Operate Word, Excel and PowerPoint programs to store, edit, format, print and revise letters, memos, reports, forms, labels and other printed material Prepare presentations & board reports
  • Arrange meetings as required
  • Perform a variety of routine tasks as well as special projects, as required
  • Assist in preparing required reports, meeting minutes, assign and follow up on action items
  • Answer the telephone, route callers, take messages and provide routine information to callers
  • Open and route incoming mail distribute correspondence and other material to the appropriate party
  • Maintain daily appointment calendars make travel and lodging arrangements as required
  • Submit and track expense claims
  • Develop and maintain necessary records and files for efficient operations
  • Other duties as assigned


  • Minimum 5 years Administrative Assistant experience; 2 – 3 years’ experience at the executive level preferable within financial services
  • Fluently bilingual in both English and French
  • The ability to handle highly confidential information using sound judgment
  • Superior oral and written communication skills
  • Initiative and the ability to work effectively both independently and within a team environment
  • Strong organizational, multi-tasking and prioritizing skills
  • Ability to liaise and communicate effectively with all levels of staff and management
  • Well-developed interpersonal skills the ability to exercise tact and discretion
  • Detail oriented and proficiency with MS Office (focusing on Word, Excel and PowerPoint)
