Job Description:

Our client, a downtown law firm is seeking an Office Hostess to join their client service & administration team. Reporting to the Office Manager, this role will provide office services and reception support.


Office Services/Admin:

  • Maintain inventory, place orders and distribute office supplies
  • Maintain inventory, place orders and distribute kitchen supplies
  • Regular mail runs to and from Post Office
  • Internal mail and fax distribution
  • Set up/ tidy up workstations/offices with supplies, arrange cleaning of area for new hires and/or departures
  • Source out special supply requests
  • Provide back up to other Office Services members as needed


  • Working with Receptionist, coordinate catering for client and internal lunches
  • Working with Admin/HR Assistant, coordinate special internal firm functions
  • Maintain server and staff kitchen
  • Maintain Boardroom supplies for meetings, setting up for meetings and tidying up afterwards


  • Back up to Receptionist, acting as a firm greeter to welcome visitors, clients and announce their arrival acting as a gate keeper for couriers, contractors etc. who require access to firm premises
  • Contact Oxford for basic facilities requests, escalating as necessary
  • Maintain Taxi Chits, Billing Entity numbers and records and daily attendance
  • Keep Reception area tidy throughout the day
  • Process same day and overnight couriers, receive couriers, track packages
  • Process outgoing Registered Mail
  • May be asked to assist with other general admin tasks such as stuffing envelopes
  • Daily closing of Reception task


  • Strong PC Skills with Word, Excel and Outlook
  • Proactive with the ability to use good judgment
  • Dedicated to providing awesome service with ability to manage multiple internal and external vendors and be adaptable to the needs of each
  • Previous experience within a corporate environment
