Job Description:

Growing dental practice in North Etobicoke with a strong focus on current technology and client care, requires an Executive Assistant to support the CEO.


Executive Support

  • Calendar management for CEO
  • Some personal assistant activities for CEO
  • Discretion when managing calendar and applies good judgement in managing changes to calendar
  • Identify role and relationship of external parties so as to be able to appropriately prioritize meetings
  • Domestic and international travel planning/coordinating
  • Prepare correspondence and presentations as required
  • Special projects that support business activities as required (utilizes research, problem solving skills and ability to work independently)
  • Ensure stakeholders in all activities are kept abreast of status and facilitate communication between parties where appropriate
  • Maintain flexibility in role to assist all team members wherever possible
  • Work with employees, consultants and external stakeholders in a way to develop and maintain strong partnerships.

Office Manager Activities

  • Oversee the maintenance appearance and functionality of office to a high standard
  • Coordinate with property management and security team regarding our tenant obligations
  • Vendor interactions to maintain office
  • Contribute to budget process of office management
  • Vacation tracking for team
  • Maintenance of contact lists
  • Plan and co-ordinate events – client and employee events

  • Excellent communication skills – verbal and written and expresses self in a way that is supportive to our culture
  • Excellent follow thru and activity tracking skills
  • Ability to work quickly and accurately
  • Ability to multi-task and think through complex problems with a demonstrated ability to solve problems creatively
  • Strong desktop skills (Microsoft office)
  • Service orientation that is consistently delivered at a high level
  • Organised and effective time management skills
