Job Description:

Our client, a real estate development company located in Markham requires an Executive Legal Assistant to provide support for both the Director, Corporate Services and Manager, Legal Department.

Responsibilities:

  • Assist Director of Corporate Services with preparation and execution of corporate minutes and other corporate documents, minute books and related corporate functions.
  • Assist Manager, Legal Department with purchases, sale and financing transactions
  • General clerical duties including photocopying, fax and mailing/deliveries
  • Open, sort and distribute incoming correspondence
  • Maintain electronic and hard copy filing system
  • Retrieve documents from filing system
  • Resolve administrative problems and inquiries
  • Prepare written responses to routine inquiries
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails
  • Schedule and coordinate meetings and appointments

Qualifications:

  • 3+ years minimum experience working in a corporate environment or law firm in administrative capacity.
  • Strong proficiency in MS Office especially with Word, Excel and Outlook.
  • Have excellent verbal and written communication skills
  • Strong time management skills and the ability to manage shifting priorities in meeting deadlines.
  • Good attention to detail/accuracy, and able to confidently interact with associates and managers at all levels.
  • Able to work independently with minimal supervision.
  • Possession of a paralegal certificate and/or paralegal training in a law firm an asset
  • Successful completion of related university or college degree/diploma is an asset
  • Training in the commercial real estate industry is an asset.
