POSITION: Executive Assistant/Institutional Sales Assistant
Our client, a well-established downtown investment firm is seeking the aforementioned to join their team on a permanent, full-time basis. The encompasses the duties of an Institutional Sales Assistant with some Executive Assistant functions.

In this role, your responsibilities with include, but are not limited to, the following:

• Manage marketing roadshow events, build itineraries, presentations and work with the marketing team
• Open and maintain trading accounts
• Manage and maintain salespersons appointment diaries
• Provide EA and PA support to Managing Director, Head of Equities
• All word processing completed with accuracy and high standard of presentation, including proof reading
• Efficiently and professionally manage telephone traffic
• Arrange travel bookings for the team, with attention to cost considerations
• Prepare expense reimbursements for the team
• Assist document management with scanning and storing of files
• Book meeting rooms as requested

To be successful in this role, you will have:

• 3-5 years proven experience in a similar role
• CSC and CPH (Licensed) or working towards and post-secondary education
• Familiarity with process to open and maintain trading accounts
• Ability to work well under pressure and exercise appropriate judgment, especially when handling confidential information
• Comprehensive PC skills, including Word, Outlook and Excel
• Organized and able to multitask
• Flexibility to work for several people and willingness to work longer hours when required
• Familiarity with expense management
